Privacy Policy
This policy explains what EMS East Distributors collects, why we collect it, who sees it and what you can do about it. We've written it in plain English on purpose.
The short version: we collect what we need to price your offer, ship your label and pay you. We don't sell your information to anyone, we don't buy advertising data about you, and we don't ask for your medical records.
1. What we collect
Information you give us:
- Your name, email address, phone number and ZIP code
- Details of the goods you want to sell — brand, quantity, count and expiration dates
- Your shipping address, if you accept an offer
- Your payment details — a PayPal or Venmo handle, or bank details for direct deposit
- Anything else you choose to write in a message or notes field
- A completed IRS Form W-9, where payments to you reach the reporting threshold
If you apply for a wholesale account, we also collect your company name, federal EIN, resale certificate or licence number and issuing state, business address, website, and your name, role, work email and phone. We use it to verify the account, process orders and meet our recordkeeping obligations. Card details are handled by our payment provider — we never see or store a full card number.
Information collected automatically: standard web server logs including IP address, browser type and the pages you visited. We use these for security and to keep the site working.
2. What we deliberately don't collect
We do not ask for and do not want your diagnosis, your medical records, your prescription history, your insurance information or your Social Security number (except on a Form W-9 where tax law requires it).
Please remove or black out any pharmacy label on a box before you ship it. If a label with personal details reaches us anyway, we destroy that portion of the packaging on receipt.
3. Why we use it
- To price your goods and send you a written offer
- To generate your prepaid shipping label and track your package
- To verify the goods on arrival and record the inspection
- To pay you
- To answer your questions and handle any problem with your order
- To keep the records that tax, accounting and product-traceability rules require us to keep
- To prevent fraud and protect the security of the site
We do not use your information for advertising and we do not add you to a marketing list unless you explicitly ask us to.
4. Who we share it with
We share only what's necessary, only with these categories, and only so they can do a job for us:
- Shipping carriers — your name and address, to create and deliver the label
- Payment providers — the details needed to send your payment
- Our accountant — transaction records for tax and bookkeeping
- Website and email hosting providers — who store the data on our behalf
- Law enforcement or regulators — where we're legally required to, or where we need to establish or defend a legal claim
We do not sell your personal information, and we have not sold or shared it for cross-context behavioural advertising in the preceding twelve months.
Downstream buyers of the goods receive product and lot information only. They never receive your identity or contact details.
5. Cookies
This site uses only the cookies strictly necessary to make it work. We don't run advertising trackers, third-party analytics or social media pixels. There is nothing here following you around the internet.
6. How long we keep it
- Quote requests that don't proceed: 12 months, then deleted.
- Completed transactions: 7 years, which is what tax and product-traceability recordkeeping requires.
- Payment details: retained only as long as needed to complete and reconcile payment, then removed from our active systems.
- Server logs: 90 days.
7. How we protect it
The site is served over HTTPS. Access to customer records is limited to personnel who need it. Payment details are handled through the payment provider's own systems rather than stored in full on ours. Paper records are kept locked.
No system is perfectly secure, and we won't pretend otherwise. If a breach affects your information we will notify you and the relevant authorities as required by law.
8. Your rights
Wherever you live in the United States, you can ask us to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct anything that's wrong
- Delete it, where we're not required to keep it
- Stop contacting you
Email and we'll respond within 30 days. We will never treat you differently for exercising any of these rights.
If you are a California resident, the rights above satisfy your rights under the CCPA/CPRA, including the right to know, delete, correct, and to opt out of sale or sharing. As stated above, we do not sell or share personal information. You may use an authorised agent to make a request on your behalf.
9. Children
This site is not directed at anyone under 18 and we do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.
10. Changes
If we change this policy we'll update the date at the top. If the change is significant and we hold your email address, we'll tell you directly.
